ACCOUNTING MANAGER

Duties:

  • Manage the daily accounting and finance operations, ensuring smooth and efficient processes.

  • Collaborate with leadership to optimize accounting capabilities and drive business performance.

  • Independently oversee the general ledger, prepare accurate GAAP-compliant financial statements, and implement internal controls to maintain compliance.

  • Handle client billing and invoicing on a weekly basis, continuously refining processes while ensuring accurate tracking of client KPIs.

  • Maintain an up-to-date client account list and product lines in QuickBooks Online (QBO).

  • Lead the monthly financial close, including account reconciliations, payroll and commission accruals, amortization of prepaid expenses, and depreciation tracking.

  • Manage accounts receivable collections, address customer queries, and ensure timely invoicing through external customer portals.

  • Coordinate with third-party factoring services to ensure proper payment application and investigate short-paid invoices as needed.

  • Take ownership of accounts payable processes, including vendor management, credit card reconciliations, and expense reporting.

  • Provide monthly financial analysis and present findings to Executive Leadership.

  • Prepare sales data reports and track consultant headcount trends.

  • Lead the budgeting and forecasting process annually, working with leadership to align financial objectives and company goals.

  • Update financial forecasts weekly, track actuals, and monitor monthly expenses against budget.

  • Collaborate with leadership on long-term planning and strategic goals.

  • Conduct quarterly reforecasting and maintain up-to-date financial projections.

  • Oversee year-end financial reporting, audits (including 401k and HSA), tax-related schedules, and 1099 filings.

  • Assist with business insurance, benefits renewals, bank reporting, third-party payroll processing, and workers’ compensation reporting.

  • Work with external CPA firm to ensure federal and state tax compliance, including timely quarterly and annual estimated payments.

  • Prepare for the first external financial review by a third-party CPA firm.

  • Manage all accounting systems and coordinate future system transitions as needed.

Requirements:

  • Minimum 7 years of progressive experience in full-charge accounting operations and general ledger management, with leadership experience preferred but not required.

  • Bachelor’s degree in accounting, finance, or related field strongly preferred.

  • Deep understanding of GAAP principles and accounting standards.

  • Strong business acumen with a consultative approach to problem-solving; skilled at gathering requirements and aligning on success criteria with leadership.

  • Proven experience working with multi-state operations, particularly with businesses based in California.
